How to build a business management app with AI, without coding
Spreadsheets that break, paper notebooks, WhatsApp messages: many small businesses manage orders, customers and stock this way, because off-the-shelf software is too complicated or simply doesn't fit. With vibe coding you can build your own internal tool by describing it in plain words. An AI agent creates the screens, the database tables and the logins, and you see your custom management app working in a live preview.
What can a custom management app handle?
Anything you track today in a spreadsheet or on paper. Some common examples:
- orders and customers: who ordered what, when it is due, what has been delivered;
- inventory: products, quantities, suppliers and items running low highlighted on screen;
- quotes: line items, quantities, totals and the status of each quote (sent, accepted, rejected);
- staff shifts: a weekly schedule for a shop, a bar or a small team;
- workshop jobs: repairs for cars, bikes or phones, with status, parts used and notes;
- appointments and clients for a studio or a practice.
The big advantage of custom management software is that it follows your way of working, with your words and your steps, instead of forcing you into someone else's.
Step by step
- Choose "management app" when you create the project, then describe what you want to keep track of.
- Map your data in Plan mode. Ask the agent which tables and screens make sense for your business: it reasons with you without changing any files.
- Build. The agent may ask one or two questions with options, then creates the tables, the login and the screens by itself.
- Try it in the live preview. Add a customer, create an order, change a status. Check both desktop and phone view.
- Refine. Point at a column, a form or a button and say what to change. Attach a screenshot of your current spreadsheet to show the fields you use.
- Test it with your team. Your tool has a private preview address, such as https://yourname.previewmyvibe.com, that only you and the people you give permission can open, so you and your staff can try it before using it every day.
Create a management app for my bike repair shop: customers (name, phone, bike model), repair jobs with a status (received, in progress, waiting for parts, ready, collected), parts used with their cost, and a dashboard with today's jobs. Two roles: the owner sees everything, mechanics only see and update jobs.
Describe your data, not just the screens
The example request on this page works because it describes the things the business deals with and how they change:
- entities and fields: customers with name, phone and bike model; jobs; parts with cost;
- statuses: received, in progress, waiting for parts, ready, collected;
- an overview: a dashboard with today's jobs;
- who does what: the owner sees everything, mechanics only see and update jobs.
When you describe your own business, use the same words you use every day. If your team says "job sheet" instead of "order", say "job sheet": the app will speak your language.
What you get
- A real database: the agent creates the tables for you, and the Backend tab shows tables, users and files.
- User accounts with roles: sign up, login and different permissions, for example owner and staff.
- File and photo uploads: attach photos of a repair, a delivery note or a document to the right record.
- Lists, forms and dashboards with search and filters, designed around your process.
- QR codes: for example on a job ticket, to open the right record from a phone.
- Versions with changelog: each change is saved, so you can restore an earlier version if something doesn't convince you.
Tips for a management app your team will actually use
- Start from one process. Orders first, or jobs first. Add inventory or shifts once the first part works well.
- Test with realistic data. Ask the agent to add sample records, then try a normal day of work.
- Think about the phone. If your staff works on the shop floor or in the workshop, check the phone view and ask for big, easy buttons.
- Keep forms short. Only ask for the fields you really need; you can always add more.
- Ask your team. Show them the preview early and turn their comments into requests for the agent.
Going live and keeping control
To use the tool every day, download the full source code from the Publish page as a ZIP, ready for Docker or a normal web hosting, and put it on the hosting you choose or server. Everything is included: the frontend, the admin panel, the PHP API, the MySQL data and the Docker files, and the download is free. One-click hosting is coming soon. Once it is on your hosting, your team members can sign up and log in from any computer or phone.
As your business changes, your tool changes with it: ask the agent for a new field, a new status or a new report, and a new version is created each time. Your data and your code stay yours: you can sync the project with GitHub, GitLab or Bitbucket, and make manual changes in the built-in code editor, the same one used in VS Code.
Frequently asked questions
Can several people use the management app?
Yes. The agent adds sign up and login, and you can have different roles, for example owner and staff, each seeing only what they need.
Where is my data stored?
In the project's own database. You can see tables, users and files in the Backend tab, and download everything, MySQL data included, as a ZIP.
Does it work on a phone?
Yes, the screens adapt to phones and tablets. If you prefer, you can also build a mobile app for iPhone and Android.
Can I change it later as my business grows?
Yes. Ask the agent for new fields, screens or statuses whenever you need them. Every change creates a version you can restore.
